Location journal (form)

Click Inventory management > Journals > Item arrival > Item arrival.

Click Inventory management > Journals > Item arrival > Production input.

Use this form to create, maintain, validate, post, and print journals that have a type of Item arrival or Production input.

The following tables provide descriptions for the controls in this form. 

The tabs and controls that were added to this form for the Warehouse management features in Microsoft Dynamics AX 2012 R3 are not described in this topic. For information about these features, see Warehouse management.

Description

Overview

View information about the journal, content, and posting status.

General

View information about the journal that is selected on the Overview tab. You can enter information about packing slips and posting.

Default values

Select reference and storage dimensions, and the handling mode, and view return order information.

Tip

The values that are defined on the Default values tab are copied to new lines when you click Functions > Create lines. You can change the individual values on the lines.

Blocking

Set up permissions for using the journal.

History

View the transaction history for the journal.

Lines

Create or view the lines of the selected journal.

Validate

Validate the whole journal. You can validate journal lines individually in the Journal lines form.

Post

Post the journal.

Create new

Create a journal that uses the journal setup that is specified in the Journals area of the Inventory and warehouse management parameters form. A journal line is also created.

Log

View errors that were found during validation or posting.

Functions

Open a menu that contains the following items:

  • Create lines – Create lines for the location journal.

    If you select the Initialize quantity check box, the quantity field is completed with the number from the inventory transactions.

  • Product receipt – Receive purchase orders, and update the information for the items that are included on the purchase order.

  • Product receipt returned – Receive returned sales orders, and update the information for the items that are included on the return order.

  • Receive – Receive transfer orders, and update the cost information for the items that are included on the transfer order.

Print

Print the journal.

Show

Select the journals to display.

If you select Posted, and then you click Functions > Product receipt, you can view a product receipt update of the purchase that is referenced by the Reference and Number field values on the Default values tab.

Note

By default, criteria are not set for journal numbers. This means that all open journals are deleted if the Show field is set to Open, and all posted journals are deleted if the Show field is set to Posted.

Name

The name of the journal that is selected when you create a journal.

Tip

You can create journal names in the Journal names, warehouse management form.

Journal

The journal number. A journal name can have several journal numbers, each of which has its own journal lines.

Journal type

The location journal type. The following types are used:

  • Item arrival

  • Production input

Description

The description of the journal.

Lines

The number of journal lines.

Tip

Click Recalculation on the History tab to update the number of lines.

Posted

If this check box is selected, the journal has been posted. Click Lines to view the specific journal lines.

In use

An X indicates that the journal is currently being used.

Delete lines after posting

Select this check box to delete journal lines after the journal is posted.

Packing slip

Enter the packing slip number for the item receipt.

Account number

The vendor account number. Use this field to identify possible purchased items from a specific vendor. The field is visible only in the item arrival journal.

Reference

The module that the record originates from.

Number

The number of the reference that is specified in the Reference field.

Site

Enter the site in which you will store the item.

Warehouse

Enter the warehouse in which you will store the item.

Location

The location inside a warehouse where the items will be stored.

Pallet ID

The unique ID for the pallet.

Pallet transports

If this check box is selected, the items that are registered in the journal will be moved with a pallet transport.

If you do not specify either a location that has an Inbound dock type or a pallet ID, the journal will not be posted successfully. You must select the Check picking location check box, the Check bulk locations check box, or both check boxes.

If the Pallet transports, Check picking location, and Check bulk locations check boxes are selected, the system determines where to store receipts and items from the production.

The check boxes in the Mode of handling field group can be used in the following ways:

  • No check boxes are selected – Specify directly on the journal line the location where the items will be stocked.

  • Check picking location, Check bulk locations, or both check boxes are selected – Specify a location that has the Inbound dock type on the journal line. When the journal is posted, the system identifies a location at the warehouse where the items can be stocked and moves the items to that location. How the items are actually moved is up to the legal entity.

  • Pallet transports, Check picking location, Check bulk locations, or any combination of these check boxes is selected – Specify a location that has an Inbound dock type and a pallet ID on the journal line. When the journal is posted, the system identifies a location at the warehouse where the pallet with the items can be stocked. A pallet transport is generated, and the pallet is moved to the pallet transport.

Check picking location

Select this check box to automatically identify room for the item at its regular picking location.

You can set up the picking location on the Locations tab in the Warehouse items form. Click Product information management > Common > Released products. On the Action Pane, click the Manage inventory tab, and then click Warehouse items.

Check bulk locations

Select this check box to automatically search for an available bulk location that must be used as the item’s store zone.

Note

If you selected the Check picking location check box, and there is room at the picking location, the system does not search for a bulk location.

You can associate bulk locations with store zones for individual inventory items in the Warehouse items form. Click Product information management > Common > Released products. On the Action Pane, click the Manage inventory tab, and then click Warehouse items.

Quarantine management

Select this check box to put items in quarantine when they are received.

RMA number

The return materials authorization (RMA) that is used to authorize the return of items.

Disposition code

The identifier of the disposition code that is associated with the transaction.

Private

Select this check box to make the journal available only to a specific user or user group.

Used by user

The user who is currently using the journal.

Private for user

If the Private check box is selected, the user who can access the journal.

Locked by system

If this check box is selected, the location journal is locked. You can neither save new lines nor edit existing lines when the journal is locked.

Private for user group

If the Private check box is selected, view or select the user group that can access the journal.

Posted on

The date when the journal was posted.

Posted by

The user who posted the journal.

Original journal No.

The journal number that the lines are transferred from.
