Create and view lodging items

Use lodging times to assign contacts to rooms for an event.

To work with lodging items, do one of the following:

  • To view all available lodgings: go to Marketing Execution > Event Management > Lodging.

  • To view lodgings associated with a specific event: go to Marketing Execution > Event Management > Event and choose an event from the list. Open the Lodging related-information tab to view lodging items related to that event.

In both cases, use the Show detail/summary Show Details Summary button button to switch the view mode of the list. The summary view is read-only, while the detail view allows you to open and edit individual lodging items.

  1. Click the New button New button to create a single lodging item.

  2. Enter the information.




    Microsoft Dynamics Marketing assigns a unique ID to each lodging item.


    Select a status from the pull-down menu.

    Room #

    Enter the room number. Room numbers are required and must be unique.


    Enter a descriptive name for the lodging item. Queen, non-smoking, and Executive Suite are typical room names.


    Select the event the lodging items are for from the pull-down menu.


    Specify your booking contact at the lodging establishment. You must specify a vendor contact that already exists in your database. This is a Type-ahead field


    Select a guest from the pull-down menu. (Optional.)


    Enter the date the lodging item was updated.

    Hold Until Date

    Enter the date until when the lodging item should be held for the guest.

    Processed by

    Select a contact.

    Check-in date/time and Check-out date/time

    Specify the check-in and check-out dates and times.


    Enter a description of the lodging item.

  3. Click Submit.

A lodging is marked as reserved when the Guest field is set. Lodging records without a Guest value are considered available for booking. Often, you will create the lodging records first and then book guests into them later.

  1. Create or open a lodging record.

  2. Specify a guest in the Guest field.

  3. Click the Reserve button (visible after you have saved the lodging record at least once).

    Microsoft Dynamics Marketing changes the status of the item to Reserved, time stamps the reservation and logs the contact who reserved the item.

Open a lodging record that is already reserved and click the Cancel button.

Microsoft Dynamics Marketing changes the status of the item to Canceled and logs the cancellation on the Log tab.
