Print media advertisers typically require a tear sheet—a page torn from the magazine or newspaper showing the ad that ran—as proof of performance. If you buy a lot of print advertising Microsoft Dynamics Marketing's powerful features can help you track and manage tear sheets better.

Every time a print media insertion is created, Dynamics Marketing automatically creates an associated tear sheet record to track receipt of the tear sheets.

To work with tear sheets, you must be a media buyer and have the Edit/View Tear Sheets privileges. More information: Work with user accounts and staff contacts

To work with tear sheets, go to Assets & Media > Media Buying > Tear Sheets. This brings you to the Tear Sheets list page, which provides many of the standard controls for searching, sorting, filtering, adding, removing, and viewing items in the list, plus other common features. Whenever you view or create a tear sheet, the information and settings described in the following table are provided.

Field

Description

Date

Displays the date of the insertion.

Media

Displays the name of the publication associated with the tear sheet.

Vendor

Displays the name of the vendor associated with the tear sheet.

Prepared By

Displays the name of the user who created the transaction.

Description

Enter a description that can help you and other users remember what this record is for and how it should be used.

Quantity

Displays the quantity of insertions.

Prepared For

Displays the name of the client.

Advertiser

Displays the name of the advertiser associated with the tear sheet.

Agency

Displays the name of the agency associated with the tear sheet.

Status

Assign a status for the tear sheet. This value can be useful for sorting and filtering your records and for supporting internal processes or policies. Your admin can customize the values available here; see Create custom drop-down values and folders for details about how to customize drop-down values. (Category type = Tear Sheet Status.)

Date

Shows the date and time of the most recent Status change.

Updated By

Displays the name of the user who last updated the tear sheet.

Verbal Confirmation Check Box

Select this checkbox to indicate that a verbal confirmation has been received. Enter additional details in the field provided.

Tear sheet Confirmed Check Box

Select this checkbox to indicate that the tear sheet has been confirmed. Enter additional details in the field provided.

As with other types of records, you can update any single tear sheet using that sheet's maintenance page (as described previously). You can also edit several tear sheets at once as follows:

  1. Go to the Tear Sheets list page. Use the search, filter, and sort controls to find the tear sheets you want to update.

  2. Select the check box for each tear sheet you want to update.

  3. Click the Update button Update button on the toolbar. The Update page opens.

  4. Edit the fields on the Update page as required (see the previous table for a description of each of these fields). Fields left blank will retain their current values for each tear sheet; select the Clear check box for any field that you want to clear.

  5. Click Submit.

Dynamics Marketing makes it easy to collect several tear sheets into a shipment, which you can use to track the tear sheets you send to clients.

  1. Go to the Tear Sheets list page. Use the search, filter, and sort controls to find the tear sheets you want to ship.

  2. Select the check box for each tear sheet you want to ship.

  3. Click the Make Shipment button Create Shipment button.

  4. Dynamics Marketing creates a new shipment that includes all of the tear sheets that you selected (you can see these on the shipment's Tear Sheets tab).

  5. You are now on the maintenance page for your new shipment record. Make the required settings and click Submit to save the shipment and return to the Tear Sheets list page. For more information about how to work with the settings on the Shipment maintenance page, see Create new shipment.
