Items and Services appear on financial transactions and are used to track the items and services that you buy, sell and use. Items are things like brochures, mugs, etc. Use items to track things that you buy, sell, or use. There are two types of items:

  • Standard items: Standard items can be used to track the things that you buy, sell, and use.

  • Inventory items: Sites that use the Advanced Inventory function in Microsoft Dynamics Marketing can create and use inventory items. Microsoft Dynamics Marketing provides advanced inventory management functions for inventory items.

Services track hourly work that users do. Users can select a service when they create time slips. More information: Analyze time spent working on a task or a project

To work with items and services, you must have Edit/View Accounting Manager privileges. More information: Work with user accounts and staff contacts.

The Item and Service Usage tab lets users see detailed information about the usage of items and services for a specific person, client, vendor, job, campaign, event, or component.

Users must have an appropriate User role (Inventory Uses, Invoices, Expenses, Vendor Returns, Credit Memos/Refunds or Inventory Adjustments) to see the detailed usage information for the listed transactions.

  1. Open a Contact, Client, Vendor, Job, Campaign, Event or Component maintenance page.

  2. Choose the Item/Service Usage tab.

    Microsoft Dynamics Marketing displays the item or service usage for the selected contact, client, vendor, job, campaign, event, or component.

    Choose the Expand (+) button next to any item or service to view its prices and rates in a sub-grid.

Items appear on financial transactions and are used to track what you buy, sell and use.

To view items, go to Budgeting. > Settings > Items/Services.

To create a new Service/Item:

  1. On the View Items/Services page, choose the New button. New button.

  2. On the pop-up menu, select Service or Standard Item to create a new service or item. Microsoft Dynamics Marketing opens the New Services/New Items page.

  3. Enter the information

  4. Choose Submit or Save.

Description

Active

Choose the check box to indicate that the item or service is active. Only active items can be used on invoices.

Name

Enter the name of the item or service. (Required.)

Billing Account

Select the general ledger account number from the pull-down menu to use for invoicing. (Required.) Typically, a revenue account is used.

Expense Account

Select the general ledger account number from the pull-down menu to use for expenses. (Required.) Typically, an expense account is associated with an item or service.

Description

Enter a description of the item orservice. (Optional.)

Default

Choose the check box to indicate that the service is the default. Only one item or service can be the item. The default item/service is used when expenses without items/services are invoiced. More information: Prepare invoices for clients for items, services and media

Taxable

Choose the check box to indicate that the item or service is taxable.

Type

Select a type from the pull-down menu. (Optional.) Item and service types are used to categorize items and services.

Restrict to Company

Enter the name of a company that the item or service is restricted to. (Optional.)

Created by

Select a contact. (Required.)

To add a rate (what you charge clients) or a cost (what the item or service costs to deliver):

  1. Enter the information into the Price grid.

  2. Choose the New button New button to add additional blank rows to the service or item’s Price and Cost grid.

  3. Choose Submit.

Select a contact if the price or cost is contact-specific (Optional.)

Price

Enter the price to charge for the service or item.

Cost

Enter the cost of the service or item.

Currency

Select a currency. (Required.)
