Merge/Purge is a critical element of every direct mail (and to a lesser extent, email marketing) campaign. Building a set of merge/purge instructions is complex, time consuming, and fraught with opportunities to make small but costly mistakes. Merge/purge functions in Microsoft Dynamics Marketing can help you achieve a more effective and more accurate merge/purge. Best practices suggest documenting, in detail, every instruction, to ensure that the team performing the merge/purge has specific instructions. Dynamics Marketing provides a customizable template to capture the information that your organization requires. Dynamics Marketing uses a question and answer format.

These instructions are courtesy of Computer Strategy Coordinators (CSC). CSC requires these instructions for each campaign:

  • ACS (Y/N): Add a sequence number for the USPS Automated Correction Service?

  • Address Standardize (Y/N): Standardize addresses?

  • Assigner Finder Numbers (Y/N): Assign sequence numbers to uniquely identify name and address records?

  • Deceased Suppress (Y/N): Match against a database individuals who have died and suppress all matching records?

  • De dupe Logic: Type of de duping logic to use to decide which pairs are duplicates.

  • DMA Pander File Suppress (Y/N): Match against the DMA Pander file, and suppress matches?

  • DSF (Y/N): Match against the USPS Delivery Sequence File to ensure that the address exists?

  • Ink Jet Prep (Y/N): Format the output for ink jetting?

  • NCOA (Y/N): Match against National Change of Address Database?

  • Penetration Limits: Limit the number of mail pieces going to the same company?

  • Postal Qualification (Y/N): Sort to maximize postal discounts via US Postal Service Bulk Mail?

  • Priority: Which lists have priority?

  • Prison Suppress (Y/N): Match against a database of addresses of US Prisons and suppress all matching records?
    Suppression File: Flag certain media as suppression files?

To create merge/purge instructions for a campaign:

  1. Choose the Merge/Purge tab. Dynamics Marketing displays all the sections of the brief that have already been completed.

  2. Choose the New button on the button bar.

  3. Select a category.

  4. Type in the information.

  5. Choose Submit.

To edit information:

  1. Choose the information you want to edit.

    Dynamics Marketing displays the information in an editable page.

  2. Change the information.

  3. Choose Submit.
