Worker (form)

Click Human resources > Common > Workers > Workers. Select a worker. On the Action Pane, click Edit.

Use this form to maintain information for a worker. A worker can be a contractor or an employee within your legal entity or organization.

Worker actions

Action button

Description

New case

Open the New case form, where you can create a case for the worker. For more information about cases, see Case management.

Image

Open the Image form, where you can add an image file to the worker record.

Hire new worker

Enter preliminary information about a new worker before creating the new worker record. After you enter the preliminary information, click Hire new worker to return to the Worker form, where the preliminary information is displayed in the new worker record.

Transfer worker

Open the Transfer worker form, where you can transfer a worker to a different job and position assignment.

Terminate

Enter preliminary information about the termination event. After you enter the preliminary information, click Terminate worker to end the employment of the worker.

Note

If the worker has more than one employment in your organization, you will end all of the worker’s employments when you click Terminate worker. To end only one employment for a worker, but allow the worker to remain employed in a different legal entity, click End in the Employment area of this form, and then enter the required information. To remove a worker from one position, but allow the worker to remain assigned to other positions, you should end the position assignment instead of terminating the employment of the worker. For more information, see Offboard workers.

Create eligibility event

Create an event that will allow you to determine which benefits the selected workers are eligible for:

  • Event – Enter a name for the event.

    It is helpful to use a naming scheme that allows similar events to sort together on the Eligibility events list page. For example, your open enrollment events might be OE plus the year, such as OE2012, OE2013, and OE2014.

  • Description – Enter a brief description of the event.

  • Event type – Select the type of event to create.

  • Coverage start date – Enter the date that eligibility for the event is based on.

  • Enrollment period start date – Enter the first day of the period when a worker can sign up for benefits.

  • Days to enroll – Enter the number of calendar days in the enrollment period.

Worker position assignments

Open the Position assignments form, where you can maintain the list of positions that the worker is assigned to.

Add assignment

Create a new position assignment for the worker. You must enter the necessary information and then click Create position assignment to create the new position assignment for the worker.

Edit assignment

Modify a position assignment for the worker. You must select the position assignment to modify, enter the necessary information, and then click Update worker assignment to modify the position assignment for the worker.

End assignment

End a position assignment for the worker. You must select the position assignment to end, enter the necessary information, and then click Retire worker assignment to end the position assignment.

Employment history

Open the Employment history form, where you can view the worker’s history of employment with your legal entity or organization.

Maintain versions

Open the Worker date manager form, where you view or update the past, current, or future changes to the worker’s personal details and title.

Set up

Set up the following information for the worker:

  • Buyer groups – Open the Buyer groups form, where you can assign a buyer group to the worker.

  • Dispatch team – Open the Dispatch workers form, where you can assign a dispatch team to the worker.

  • User requests

    • Worker user request – Open the User request details form, where you can respond to requests that were submitted by administrators and to grant or revoke user access to Enterprise Portal for Microsoft Dynamics AX.

    • Inactivate worker user request – Open the User request details form, where you can inactivate the worker’s access to Enterprise Portal.

  • Worker task assignments – Open the Worker task assignments form, where you can maintain a list of worker tasks for the worker.

View in hierarchy

Open the Position hierarchy to display a graphical representation of the organizations, reporting managers, and positions in the Microsoft Dynamics AX implementation.

Attachments

View documents that are already attached to a selected record, or attach documents to the selected record.

Time registration actions

Some of the following buttons are available only if the worker is an active time registration worker. For more information, see Enable workers to register time and attendance.

Action button

Description

Activate on registration terminals

Enable the worker as a time registration worker. Time registration workers can make registrations for Time and attendance and in Manufacturing execution. This button is available only when the legal entity that the worker is employed in is selected.

Absence registrations

Open the Absence registration form, where you can create a planned absence record for the worker.

Profile calendar

Select a work time profile for the worker to be valid for one day or for a specific period of time.

Temporary group assignment

Schedule a temporary connection to another calculation group or approval group on a specific date.

Flex balance

View a list of the worker’s flextime records. Make corrections of the flex balance.

Note

This button is available only if the worker is an active time registration worker and if the Flex allowed check box is selected for the worker.

Flex

Recalculate the worker’s flex balance.

Note

This button is available only if the worker is an active time registration worker and if the Flex allowed check box is selected for the worker.

Opening flex balance

Create an opening flex balance for the worker.

Note

This button is available only if the worker is an active time registration worker and if the Flex allowed check box is selected for the worker.

Worker balances

View the count unit registrations made for the worker and the pay generated for each count unit.

Recalculate worker balances

Recalculate worker balances.

Payroll statistics

View or set up payroll statistics.

Action button

Description

Project setup

Open the Project setup form, where you can set up period, timesheet, and maximum working hours per week for the selected worker.

Cost prices

Open a menu that contains the following items:

  • Cost price - hour – Set up a cost-price-per-hour transaction for the selected worker.

  • Cost price - expense – Set up a cost-price-per-expense for the selected worker.

You can set up a standard cost price for the worker that applies to any category or project, or you can specify the cost price for the worker by project, category, or both.

Sales prices

Open a menu that contains the following items:

  • Sales price - hour – Set up the price that is charged per worker hour on a project for the selected worker.

  • Sales price - expense – Set up the price that is charged per worker expense on a project for the selected worker.

  • Sales price - fee – Set up a price that is charged per worker fee for a project for the selected worker.

  • Transfer price - hour – Set up the price that is charged to another legal entity when the legal entity borrows the worker for work on its own projects. This option is available only if intercompany timesheet support is enabled.

You can set up a standard sales price for the worker that applies to any category or project, or you can specify the cost price for the worker by project, category, or both.

Assign categories

Define validation connections for the selected worker. The connections that you set up make selected categories available for the worker or include the worker in worker/category groups. These validation assignments control access limitations that are applied when workers register entries in hour, cost, and inventory journals, or when they enter timesheets.

Assign projects

Define validation connections for the selected worker. The connections that you set up make selected projects available for the worker or include the worker in worker/project groups. These validation assignments control access limitations that are applied when workers register entries in hour, cost, and inventory journals, or when they enter timesheets.

Project statements

Open the Project statements form, where you can view statements for a defined combination of project types and transaction types as they relate to the selected worker.

Cost control

Open the Cost control form, where you can calculate and analyze the costs of a project or a set of projects as they relate to the selected worker.

Invoice control

Open the Invoice control form, where you can calculate and display posted transactions that are related to the selected worker. A posted transaction provides an overview of the amounts that have been invoiced, the amounts that remain to be invoiced, and the amounts that are to be invoiced that exceed the quotation amount.

Hour utilization

Open the Utilization hours form, where you can calculate the hour utilization rate for a worker for a certain period.

Cash flow

Open the Cash flow form, where you can calculate forecasted and actual cash flow as they relate to the selected worker.

Expense

Open the Expense transactions form, where you can view expense transactions that have been submitted on behalf of the selected worker.

Fee

Open the Fee transactions form, where you can view fee transactions that have been submitted on behalf of the selected worker.

Hour

Open the Hour transactions form, where you can view hour transactions that have been submitted on behalf of the selected worker.

Period status

Open the Period status form, where you can view the status of project and worker periods for the selected worker.

Open the Credit cards form to assign or remove the assignment of a credit card from the selected worker.

Open the Mileage rate form to add or delete mileage information for the selected worker.

Worker tax regions

Default tax region

Worker tax codes

These three buttons open forms where you can assign tax-related information to a worker.

  • Worker tax regions are the tax regions where a worker may be subject to payroll taxes. This includes both the location where the worker claims residency, and all locations where the worker works. Use the Worker tax region form to assign tax regions to the worker.

  • The default tax region is the worker tax region that is associated with a worker’s position. The default tax region is used when earnings for that position are generated for the worker. Use the Default tax region form to assign a single default tax region to each position that has been assigned to the worker.

  • When you assign a worker tax region, worker tax codes that apply to the worker for each legal entity that the worker has a position in are automatically set up. All parameters for the worker tax codes have to be reviewed to ensure that they are accurate. Use the Worker tax codes form to configure the parameters for the tax codes that have been assigned to the worker.

Generate earnings for workers

Generate earning statements for the selected worker.

Pay statement

Generate pay statements for the selected worker.

Change name

Open the Name details form, where you can change the name of the worker.

Note

This control is not available if Microsoft Dynamics AX 2012 R2 or AX 2012 R3 is installed.

Personnel number

Enter a unique identifier for the worker.

If a number sequence code is specified for the personnel number reference in the Human resources shared parameters form in the Number sequence area, you cannot modify the information in this field.

Personal title

Select a personal title for the worker.

The information in this field is maintained in the following form:

 Name title or suffix (form).

First name

Displays the first name of the worker. You can change the worker’s name in the Name details form, which you can access from the Worker form (Worker summary FastTab > click Change name).

Middle name

Displays the middle name of the worker. You can change the worker’s name in the Name details form, which you can access from the Worker form (Worker summary FastTab > click Change name).

Last name

Displays the last name of the worker. You can change the worker’s name in the Name details form, which you can access from the Worker form (Worker summary FastTab > click Change name).

Personal suffix

Select a personal suffix for the worker.

The information in this field is maintained in the following form:

 Name title or suffix (form).

Search name

Enter a search name for the worker. You can use this search name to find the worker’s record within queries and list pages.

Initials

Enter the initials for the worker’s name.

Known as

Enter an additional name that the worker also is known as. For example, if a worker’s first name is Christine but she prefers to be called Christy, enter “Christy” in this field.

Professional title

Enter a professional title for the worker.

Professional suffix

Enter a professional suffix for the worker.

Phonetic first

Enter the phonetic spelling of the worker’s first name.

Phonetic middle

Enter the phonetic spelling of the worker’s middle name.

Phonetic last

Enter the phonetic spelling of the worker’s last name.

Display as

Select how the worker’s name should be displayed.

Seniority date

Enter the worker’s seniority date.

Title

Select the official title for the worker. If you cannot find the correct title in the list, you must add it to the Titles/occupations form.

Office location

Specify the location of the worker’s office within the building.

Office address

The address of the building that the worker works in.

Address books

The name of the address book where the identification information for the worker is stored. Click the pencil icon next to this field to change which address book stores this information.

Language

Select the worker’s native language.

Open an online map for the selected address.

More options

Select the action to perform for an address record.

In Microsoft Dynamics AX 2012 R2 or AX 2012 R3, select from the following options:

  • Remove – Mark the selected address record as inactive.

    You can delete all inactivated addresses by running a batch job in the Delete inactivated addresses form.

  • Set defaults – Select the default address.

  • Advanced – Open the Manage addresses form.

In versions of Microsoft Dynamics AX 2012 prior to AX 2012 R2, select from the following options:

  • Remove – Delete the selected address record from the list.

  • Deactivate – Set the status of the selected address record to inactive. The address record is not deleted.

  • Advanced – Open the Manage addresses form.

Address

View the formatted information for the selected address. This is the address that will appear on a printed document. The original address record may contain information that is not included in this view, depending on the specific country/region format.

Purpose

View the purpose of the selected address. For example, the address may be used for deliveries only, or for deliveries and services.

Primary

View whether the address is primary. A primary address is the principal postal address for the selected party. A primary address can also be the default address for the party.

Select the action to perform for a contact information record.

In Microsoft Dynamics AX 2012 R2 or AX 2012 R3, select from the following options:

  • Remove – Delete the selected contact information record.

  • Set defaults – Select the default contact information record.

  • Advanced – Open the Edit contact information form.

In versions of Microsoft Dynamics AX 2012 prior to AX 2012 R2, select from the following options:

  • Remove – Delete the selected address record from the list.

  • Deactivate – Set the status of the selected address record to inactive. The address record is not deleted.

  • Advanced – Open the Edit contact information form.

Contact number/address

The phone number, web address, or email address for the selected contact.

Primary

If this check box is selected, the contact information is primary. Primary contact information is the principal form of communication for the selected party. To select or clear this check box, click More options and then select Advanced.

Marital status

Select the marital status of the worker.

Number of dependents

Enter the number of people who are dependent on the worker.

Ethnic origin

Select the ethnic origin of the worker. The available values for this field are maintained in the Ethnic origin form.

Birth date

Enter the date of birth of the worker.

Deceased date

If the worker is deceased, enter the date that the worker died.

Education

Enter the highest level of education that the worker completed.

Gender

Select the gender of the worker.

Full-time student

Select this check box if the worker is a full-time student.

Person with disabilities

Select this check box if the worker is a person with disabilities.

Verification date

If you selected the Person with disabilities check box, enter the date when you verified that the person has one or more disabilities.

Veteran status

Select the veteran status of the worker.

The information in this field is maintained in the following form:

 Veteran status (form).

Military service start date

Enter the date when the worker started military service, if applicable.

Military service end date

Enter the date when the worker’s military service ended, if applicable.

Disabled veteran

Select this check box if the worker is a disabled veteran.

Expatriate ruling

Select this check box if the worker is an expatriate.

Expatriate ruling valid from

Enter the earliest date when the worker was ruled to be an expatriate.

This field is available only if you selected the Expatriate ruling check box.

Expatriate ruling valid to

Enter the last date when the worker was an expatriate.

Country/region of birth

Select the country or region where the worker was born.

Add an earning code to the worker.

Remove

Remove the selected earning code from the worker.

Description

Position

The position that receives the earning.

Earning code

The earning that the worker will receive for the position. Earning codes are created and maintained in the Earning codes form. For more information, see Earning codes (form).

Amount

This field is a currency amount if the rate basis is set to Flat amount. For example, a 500.00 car allowance.

If the rate basis is not Flat amount, this field is a multiplier and will be multiplied by the rate to determine the amount of the earning. For example, ten hours of overtime.

Rate basis

The amount field should be appropriate for the rate basis. The rate basis is determined by the earning code setup and cannot be changed. For more information, see Earning codes (form).

Frequency

The frequency in which the earning will be paid. Frequencies are provided by the system and cannot be changed. For more information, see Payroll calculation frequencies tasks.

Employment details

Description

End

Click this button, enter any necessary information, and then click End employment to end the worker’s employment.

Field

Description

Worker type

The type of worker. A worker can be an employee or a contractor.

Employment start date

Enter the date when the worker’s employment starts. For example, enter the date when the worker was hired. This date can be different than the worker’s first day of work.

Employment end date

Enter the date when the worker’s employment ends. For example, if a contractor is only contracted to work for one year, enter a date that is one year later than the start date.

Start date

Enter the worker’s first day of work. This date may be different than the date that the worker was hired.

Adjusted start date

Enter an adjusted start date for the worker. Consider the following example.

Josh Bailey was an employee at your company for the past 10 years. Two months ago, he ended his employment with your company. Today, you have convinced Josh to come back to work and he accepted your offer with one condition. He wants to retain the 10 years of seniority that he previously had. To accommodate Josh’s request, after you hire him, you can change the Worker's adjusted start date field on his worker record to be the date that he was first hired 10 years ago.

Last date worked

Enter the worker’s last day of work. This date may be different than the employment end date.

Termination reason

If the worker’s employment was terminated, select a reason for the termination.

The information in this field is maintained in the following form:

 Human Resources reason codes (form).

Termination date

Enter the date when the worker’s employment was terminated.

Employer unit

The termination notice unit for the employer. Combine the information from this field and the Employer quantity field to determine how many weeks or months in advance the employer must notify the worker before terminating the worker’s employment.

Employer quantity

The termination notice value for the employer. Combine the information from this field and the Employer unit field to determine how many weeks or months in advance the employer must notify the worker before terminating the worker’s employment.

Worker unit of notice

The end of employment notice unit for the worker. Combine the information from this field and the Worker notice amount field to determine how many weeks or months in advance the worker must notify the employer before ending their employment with the company.

Worker notice amount

The end of employment notice value for the worker. Combine the information from this field and the Worker unit of notice field to determine how many weeks or months in advance the worker must notify the employer before ending their employment with the company.

Calendar

Select the working time calendar for the worker. For more information, see Setting up working time calendars.

Regulatory establishment

The name that is used to identify the work location for EEO, OSHA, and other regulatory reports.

Note

This field is available only for legal entities in the USA, and only if Microsoft Dynamics AX 2012 R3 or cumulative update 7 or later for AX 2012 R2 is installed.

Additional information field group

The following links are displayed in this field group:

  • I-9 – Open the I-9 document form, where you can enter Form I-9 work eligibility for the worker.

  • Leave – Open the Leave form, where you can record a leave of absence for the worker.

  • Terms of employment – Open the Worker employment term form, where you can assign employment terms to the worker.

Employee details

This FastTab is available only if the worker has a worker type of Employee.

Field

Description

Pension plan

Enter the date by when the worker must enroll in a pension plan.

Start date

Enter the date when the worker enters into an earnings-related pension scheme.

Probation period

If the worker’s employment includes a probationary period, enter the expiration date for the probationary period. For example, some employers might require probationary periods for new workers that restrict the workers from collecting benefits or accruing vacation time.

Relocation reimbursement

Enter the monetary amount that the worker was reimbursed for relocation expenses.

Vacation pay

Enter the monetary amount that the worker will receive for hourly vacation pay.

Vacation days

Enter the number of vacation days that the worker is allowed in a year.

Total vacation hours

Enter the number of hours of vacation that the worker is allowed in a year.

Vacation hours carried over

Enter the number of vacation hours that the worker can carry over from a previous year.

Vacation hours taken

The number of vacation hours that the worker has already used within the current year.

Vacation hours left

The number of vacation hours that the worker has left to use within the current calendar year.

Paid vacation

Select this check box if the worker is eligible for paid vacation.

Additional paid vacation days

Select this check box if the worker is eligible for additional paid vacation days.

Personal days

Select this check box if the worker is eligible for personal days.

Contractor details

This FastTab is available only if the worker has a worker type of Contractor.

Contractor vendor

Select the vendor account number that is associated with the contractor.

For example, if you use an external company to locate contractors, select the vendor account that is associated with the external company.

Purchase requisition

Select the purchase requisition ID that is associated with the contractor.

Purchase order

Select the purchase order that is associated with the contractor.

Password

If personal identification number (PIN) codes are used as worker identification, enter the worker’s PIN code.

Pay ID

Enter the worker’s pay ID.

Badge ID

If badges are used to make registrations, enter the worker’s badge ID.

Badge version

Enter the version of the badge ID.

Active

This check box is automatically selected if the worker has been activated for time registration.

Activation date

Select the date from when the worker should be able to make registrations for time and attendance or in Manufacturing execution.

Calculation group

Select the calculation group that the worker is associated with.

Approval group

Select the approval group that the worker is associated with.

Standard profile

Select the work time profile to be used if the worker has not clocked in for the day, and no other profile is defined for the worker in the Profile calendar form.

Profile group

Select the group that the worker is associated with. This group is used in profile searches. All time registration workers are associated with a profile group. Various work time profiles are linked to a profile group, which makes it possible to select a profile based on the worker’s clock-in time.

New bundle

Select this check box to stop a worker’s active jobs when the worker starts a new job. If the check box is cleared, new jobs are bundled together with previously started jobs.

Category

Select the cost category to be used as the standard category when the worker makes registrations on projects.

Use timecard

Select this check box if the worker uses the electronic timecard for registration.

Configuration

Select a registration form configuration for the worker. When the worker logs on to a registration terminal, the selected registration form is displayed.

Supervisor options

Select this check box for supervisors who manage a team of workers. If this check box is selected, the supervisor has access to additional tasks in Manufacturing execution.

Note

This field is relevant only for supervisors or team managers.

Default calculation group

If the worker is a supervisor, select the calculation group that will be displayed in the Attendance form. (Click Human resources > Inquiries > Time and attendance > Attendance.)

Pay agreement

Select the pay agreement that will be used for calculating pay for the worker if no pay agreement is selected on the work time profile that the worker uses. The profile is selected, based on the time when the worker makes a clock-in registration.

Seniority date

Enter the date from when the worker’s seniority is calculated when generating pay.

Period code

Select the pay period used for the worker to calculate pay.

Flex allowed

Select this check box if the worker can register flextime. If the worker is eligible for flextime, select a flex group in the Flex group ID field.

Flex group ID

Select the flex group to be used for flextime registration.

Opening flex balance

The opening balance for flexible hours. On the Action Pane, in the Flex group, click Opening flex balance to set or change the opening balance.

Flex date

The date for the latest update of the flex balance.

Flex balance

The worker’s flex balance on the current day.

Financial dimensions

Field

Description

Default financial dimensions

The default financial dimensions for the main account. When you select a financial dimension value, the Where the %1 dimension is used field group displays where the dimension is used in account structures and advanced rule structures.

The account structures and advanced rule structures that use the financial dimensions that you selected in the Default financial dimensions field group.

The name of the field depends on the selection in the Default financial dimensions field group.

Absence setup

Select the absence setup to use for the worker. Absence setup determines how the worker registers absences from work.

The information in this field is maintained in the following form:

 Absence setup (form).

Absence date

Enter the earliest date when the worker can submit an absence registration or absence request.

Work days

The number of days in the week that are considered work days for the worker. The value in this field is calculated based on the values in the Working time field group. Each day field in the Working time field group that you enter a value in is counted as one work day. If the value for a day field is zero, it is not counted as a work day.

Working time

Commission transactions

Open the Commission transactions form, where you can view details about commission transactions that were calculated.

Sales groups

Open the Commission shares form, where you can attach the worker to a sales group and specify what proportion of the calculated commission the worker will receive.

Income tax code

Select the income tax code for the employee.

Category

Select the income tax category for the employee.

The information in this field is maintained in the following form:

 Income tax categories (form).

Country/region

Select the country or region where the employee resides.

The information in this field is maintained in the following form:

 Address setup (form).

Payroll seniority date

Enter a date that will be used to establish the worker’s seniority with regard to payroll.

Employee contribution

Enter the monetary amount to be removed from the employee’s paycheck that will be contributed to the worker’s savings plan.

Employer contribution

Enter the monetary amount that the employer will contribute to the worker’s savings plan per pay period.

Wage type

Select the wage type for the worker from the following options:

  • Advance payment – Select this option if the worker is paid for their work in a pay period at the start of the pay period.

  • Back payment – Select this option if the worker is paid for their work in a pay period at the end of the pay period.

Date of advancement

Enter the date when the employee will advance to the next payroll scale level.

Currency

Select the currency code that represents the currency that the employee is to be paid in.
