Assign users to roles (form)

Click System administration > Setup > Security > Assign users to roles.

Use this form to assign users to security roles. To access Microsoft Dynamics AX, users must be assigned to security roles. You can assign users to roles automatically based on business data or you can assign users to roles manually.

Set up automatic role assignment rules to make sure that role membership is based on current business data. With automatic role assignment, as people change jobs in an organization, their permissions automatically reflect the changes.

Manually assign users to roles when role membership cannot be based on data in Microsoft Dynamics AX. For example, you might manually assign roles if an employee goes on vacation and another employee must temporarily perform their duties.

Tip

We recommend assigning roles automatically most of the time, because this method requires less ongoing maintenance by the administrator.

Open the Roles form to modify the selected role.

Open in new window

Open another instance of the Assign users to roles form with the selected role as the focus. Opening another instance of the form allows you to drag and drop elements between the forms.

Run automatic role assignment

Run role assignment rules immediately. All rules will be run for all roles.

Add rule

Open a query list, where you can select a predefined query. Role membership rules are based on data queried from the database.

Queries in this form always include the User Information table. When the query runs, it returns only user IDs.

After the rule has been saved, the query will run automatically and security role assignments will be made.

Important

Users must exist in Microsoft Dynamics AX before they can be assigned to roles. Even if you use automatic role assignment, users are not automatically added to Microsoft Dynamics AX.

Remove rule

Remove the selected rule from the list. Removing the rule does not delete the underlying query. Removing a rule does not affect past role assignments that were based on the rule.

Edit query

Open the Inquiry form to modify the selected query.

Add organizations (upper pane)

Open the Organizations for the automatic role assignment rule form to grant access to specific organizations in the organization hierarchy for users added to the role by the selected rule.

Add organizations (lower pane)

Open the Organizations for the user form to grant access to specific organizations in the organization hierarchy for the selected user in the selected role.

Manually assign / exclude users

Open the Assign users to or exclude users from role form to manually assign users to the selected role, or to manually exclude users from the selected role.

Remove

Remove the selected user from the role. Users who are automatically assigned to roles cannot be removed manually by the administrator.

Cut

Remove the selected user from the role. The user information remains available on the clipboard. Select a different role and click Paste to assign the user to that role instead.

Query preview

Displays the query that is used as the basis for the automatic role assignment rule.

Assignment mode

Indicates whether the user was assigned to the role manually or automatically.
